At Accountify ("we," "our," or "us"), we are committed to protecting the privacy, security, and confidentiality of the data entrusted to us by our business partners, users, and clients. This Privacy Policy outlines how we collect, process, use, store, and safeguard your corporate and transactional information when you use our digital invoicing platform, browser extensions, and services (collectively, the "Platform").

By registering an account or accessing the Platform, you agree to the practices described in this Privacy Policy.

1. Information We Collect

To provide FBR-compliant invoicing and real-time integration streaming, we collect the following categories of information:

  • Account Registration Data: When you create a master account, we collect corporate profile details, including your business name, National Tax Number (NTN), Sales Tax Registration Number (STRN), corporate email address, physical business address, phone number, and account credentials.
  • Transactional & Invoicing Data: To generate real-time Invoice Reference Numbers (IRN) and FBR-verifiable QR codes, our Platform processes transactional data. This includes buyer names, NTN/CNIC numbers, item descriptions, HS codes, sale types, applicable tax rates, and invoice values.
  • Team and Master Account Information: If your firm utilizes our master account team feature, we collect the names, email addresses, and restricted permissions assigned to your designated team members.
  • Technical and Browser Extension Data: When using our single-click browser plugin for web extraction, we automatically collect technical diagnostics, such as platform log data, transaction processing speed, device identifiers, and system error logs, solely to optimize pipeline reliability.

2. How We Use Your Information

We process your data strictly to maintain compliance pipelines and deliver secure SaaS invoicing services. Specifically, we use your information to:

  • Authenticate your business identity and facilitate secure login sessions.
  • Transmit invoice data directly to PRAL/IRIS endpoints for automated FBR compliance verification.
  • Generate alternate invoice formats for your internal corporate records.
  • Populate your secure compliance dashboard and real-time data analytics.
  • Provide customer support and technical assistance regarding pipeline synchronization.
  • Keep our application framework up to date with shifting FBR Statutory Regulatory Orders (SROs) and API alterations.

3. Data Integration & FBR Streaming Pipelines

Accountify acts primarily as a secure processing channel and bridge between your company’s sales system and the Federal Board of Revenue (FBR) systems.

  • Direct Processing: Transactional payloads extracted via our extension or submitted through your dashboard are packaged, encrypted, and streamed directly to FBR/IRIS endpoints.
  • No Unnecessary Retention: We only retain the necessary transactional historical summaries required to populate your specific compliance dashboards, analytics tracking, and multi-company team views. We do not sell, rent, lease, or monetize your transactional histories to third-party data aggregators.

4. Data Sharing and Third-Party Disclosures

We do not share your private corporate information with external third parties except under the following strict conditions:

  • Regulatory Compliance: We share transactional invoice packages with the Federal Board of Revenue (FBR) and its technical affiliates (e.g., PRAL) to fulfill your real-time tax validation and legal invoicing requirements.
  • Legal Mandates: We may disclose details if compelled by an official legal order under applicable laws of the Islamic Republic of Pakistan, or to mitigate a severe compliance risk.
  • Authorized Team Members: Information regarding sub-accounts is visible to the administrators of your master corporate profile as designated by your organization.

5. Security & Data Protection Architecture

Accountify treats data security as paramount to protect your business from compliance risks and data breaches:

  • Encryption: All data flowing between your business browser, the Accountify Platform, and FBR endpoints is secured using industry-standard transport layer encryption protocols (SSL/TLS).
  • Isolation: Multi-company firm accounts are logically partitioned to ensure that data from one registered business profile cannot be viewed or accessed by unauthorized users or separate companies.
  • Access Control: Access to technical logs is restricted to our core system infrastructure engineers purely for optimization and platform reliability monitoring.

6. Your Rights and Controls

As an Accountify user, you retain control over your operational data:

  • Data Rectification: You can update your core business profile settings, NTN, team access layers, or account credentials at any time directly through your dashboard.
  • Team Access Management: Master account owners have full capability to create, suspend, or permanently delete sub-account accesses for team members instantly.
  • Account Termination: If you choose to leave Accountify after your 1-month free trial or at any point during your subscription, you may request the deactivation and deletion of your profile data, subject to mandatory tax records retention laws.

7. Cookies and Tracking Technologies

Our Platform uses minimalist cookies to ensure stable user sessions, recall your dashboard layout configurations, and track anonymous performance metrics. These tracking technologies do not scan your system or capture personal data outside of your interaction with our direct invoicing environment.

8. Changes to this Privacy Policy

Accountify reserves the right to revise this Privacy Policy to accurately reflect structural software developments, optimization patches, or updated compliance requirements mandated by new FBR SROs. We will notify you of any material updates by updating the effective date at the top of this page or via notification within your master dashboard.
